
AP/AR Specialist

Job Summary:
We are seeking a skilled and detail-oriented Accounts Payable and Receivable Specialist to join our finance team. This dual-function role is responsible for managing both incoming and outgoing financial transactions, ensuring accuracy, compliance, and efficiency across all entities. The ideal candidate will have experience in both billing and vendor payment processes and be comfortable working in a fast-paced, deadline-driven environment.
Key Responsibilities:
Accounts Payable
- Process and accurately code vendor invoices in accordance with company policies and procedures.
- Prepare and file annual 1099 forms in compliance with IRS regulations.
- Review employee travel and expense (T&E) reports to ensure adherence to company policies.
- Maintain and update vendor records, including payment and contact information.
- Serve as the main point of contact for all payables inquiries and manage the centralized AP inbox.
- Investigate and resolve discrepancies, and reconcile vendor statements in a timely manner.
- Work independently to identify and recommend process improvements to enhance departmental efficiency.
Accounts Receivable
- Prepare and issue client invoices across multiple entities.
- Review and verify reimbursable expenses, compile supporting documentation, prepare and issue monthly invoices to business partners.
- Ensure all invoices comply with internal policies and client agreements.
- Monitor and apply incoming client payments to appropriate accounts.
- Handle billing inquiries and proactively resolve discrepancies.
- Follow up on outstanding receivables and distribute monthly client statements.
Qualifications:
- 3+ years in accounting, finance or similar roles.
- Proven experience in accounts payable, accounts receivable, or a similar accounting role.
- Strong attention to detail with excellent organizational and time-management skills.
- Effective communication and problem-solving abilities.
- Ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
