Ninja Tune is an independent record label created in 1990 by pioneering duo Coldcut and releases uncompromising music from artists including Bonobo, ODESZA, The Cinematic Orchestra, Amon Tobin, Young Fathers, Leon Vynehall, Bicep, Peggy Gou, and Jordan Rakei.

We are currently expanding our team and are looking for an exceptional Bookkeeper / Accounts Assistant to support our LA office operations.

This role will suit someone with demonstrable previous accounting / bookkeeping
experience and confidence in bookkeeping techniques. The candidate will join a small (remote) Finance Team and will play an integral role, dealing with all of the company’s day-to-day transactions. The candidate will be confident working autonomously and comfortable with being managed remotely, possessing the ability to self-manage on a day to day basis.

The work will centre around posting the company’s bank, PayPal, PEX and credit card transactions to NetSuite, alongside running bi-weekly payroll and managing the company’s cash reserves. With multiple deadlines and responsibilities, the candidate will need to be highly organised and able to proactively manage their workload. Support will be available in the form of training on the company’s systems and access to the wider Finance team who do similar work.

The ideal candidate will have a desire to continually improve the efficiency and accuracy of the systems and internal processes.

Skills Required:
Software
Experience of using NetSuite is a bonus but not a requirement if the candidate can demonstrate familiarity with similar accounting packages and bookkeeping concepts.
The candidate will be a confident user of Excel/Google Sheets and will be able to upload data into the accounts system, provide various data analyses and reconciliations as required.

Communication
The candidate will need to possess strong communication skills and be friendly and approachable. It is important that the candidate is confident to speak to and chase colleagues for information, for example, costing for invoices and credit card statement narratives. In addition, as the role is managed remotely, the candidate will need to provide consistent and reliable progress updates and reach out to the team in the UK with any queries in a timely way.

Responsibilities:
Credit cards
-Downloading the statements for multiple employees, formatting them in Google Sheets, sending the link to colleagues, chasing the narratives in to deadline, storing the receipts, verifying costings, posting the transactions to NetSuite, reconciling the payments to postings and managing all aspects of communications with the bank in respect of new applicants, maintaining limits and timely payment of the balances.

Vendor bills
-Obtaining and posting general office related bills and expenses to NetSuite, storing the documents, arranging payment of bills (to be automatic where possible), writing occasional checks and dealing with vendor queries.

Bank accounts / PayPal / PEX petty cash card
-Downloading statements regularly, posting payments and receipts, dealing with any unknown items or queries in a timely way, ensuring costing is correct and always applied, and the correct company information is displayed. Reconciling all accounts at least monthly and providing progress updates to management.

Payroll
-On boarding new employees to the payroll system (Gusto), staying as up-to-date with payroll legislation and tax implications as possible, dealing with any issues direct with Gusto, running bi-weekly payroll, producing reports for management review, reviewing employee timesheets, reimbursing employee expenses through payroll, dealing with ad hoc queries.

Cash management
-Maintaining a basic cash flow projection to ensure that the company’s cash needs are managed. Mapping out upcoming expenses such as tax liabilities, payroll, company travel and major events alongside regular vendor payments.
-Checking the balance of the bank accounts, credit cards and PEX accounts regularly and in conjunction with the cash flow projection, ensuring adequate balances are maintained at all times.
-Requesting transfer of funds where required and generating sales invoices to the UK parent company with enough notice to ensure funds are not short.
-Occasionally arranging for cash / checks to be deposited at the bank.

Reporting
-Reviewing aged payables, income statement and balance sheet regularly and providing these reports monthly to management for review.

Relationships
-Communicating with and maintaining the company’s relationship with its bankers and accountants as well as other external contacts.
